Registration

    • Cancellation Policy

      Cancellation requests for EMS World Expo 2024 must be received in writing by completing this form or postmarked by August 12, 2024. Upon receipt of a compliant cancellation notice, a refund will be issued, less a cancellation fee of $100.00 (or the full registration amount, whichever is less). 

      Registrants wishing to cancel may instead transfer their registration to another individual without penalty as long as a written request for registration transferal, including the replacement individual's name and/or contact information, is sent by September 8, 2024. 

      Cancellations received after August 12, 2024 will not be refunded. If you do not cancel in advance, no refund will be issued once the event has concluded, regardless of your participation in the event or lack thereof. 

      Credit vouchers may be offered should the program be suspended or shortened due to conditions or circumstances beyond HMP Global’s control, including but not limited to interruptions in internet services, power outages, and any cancellations/modifications related a recognized health threat as defined by the World Health Organization, the Centers for Disease Control, or a local government authority or health agency.

    • Group Rates

      You will need to register the entire group at one time, and complete a full registration for each group member:

      1. When starting registration, you will be asked if you are registering a group. Select Yes from the dropdown menu.

      2. Please use the "Add Registrant" button on the summary page to add each registrant until the entire group is registered.

      3. You may either pay via credit card or select "Pay by Check" to receive an invoice.

       

      Please note, group discounts only apply to 3-Day Main Conferences passes.

    • Preconference Workshops

      Preconference workshops are priced individually and may be selected as add-ons to the main conference during the registration process. A Preconference Only pass is available, and prices vary depending on preconference selection as you move through registration. Exhibit Hall access is not included in the Preconference Only registration package, but may be added at an additional cost during registration.

Onsite

    • Children

      Under no circumstances will children under the age of 18 be allowed at the conference, any presentations, on the show floor, or in the Exhibit Hall during installation or dismantling.

    • Code of Conduct

      HMP Global is committed to providing a professional, welcoming, safe, and respectful space during our in-person and online events, regardless of race, gender, sexual orientation, disability, ethnicity, religion, disability, and/or other personal characteristics. Our Attendees bear equal responsibility for creating a safe and welcoming environment for participants.
       
      Our Code of Conduct outlines what behavior is expected of Attendees and what behaviors will not be tolerated. All Attendees at any HMP Global in-person, online, or hybrid event or function are expected and required to abide by this Code.

    • Sessions

      Sessions are subject to change. 

      Seating is limited for all session rooms and is available on a first-come, first-served basis.

      No individual or entity may electronically record or broadcast any portion of EMS World Expo without prior written consent from HMP Global. Unauthorized recording (audio, video, still photography, etc.) of presentations during sessions without the express written consent of HMP Global is strictly prohibited. Press representatives must receive a Press Pass and photo/recording permission from HMP Global. HMP Global reserves the right to any approved audio and/or video production of presentations at all HMP Global events. To request consent to record a presentation, please complete this form.

    • Special Meal Requests

      It is our pleasure to arrange special meals for attendees. We reserve the right to charge for all special requests. Requests must be made at least seven (7) days prior to the event to be accommodated. For more information, please contact us here.

Policies

    • Liability, Copyright, Acceptance, and Disclaimer

      EMS World Expo plans to take photographs, video and/or audio recordings (collectively, “Media”) at EMS World Expo events and reproduce them for use in promotional, educational, informational, advertising and/or commercial materials and communications. By participating in EMS World Expo events, I grant EMS World Expo the right to use my name, image, likeness and voice (collectively, “Likeness”) found in any Media in any materials or communications. Such materials or communications include, but are not limited to, publications, websites, articles, brochures, books, magazines, newsletters, exhibits, videos, films, social media, advertisements, and training programs (collectively, “Materials”).

      I understand and agree that HMP Global and EMS World Expo are and shall be the exclusive owner of all right title and interest, including any copyright, in the Media and Materials and that any and all postings are the property of the same. Postings may be displayed, distributed, or used by EMS World Expo for any purpose. Furthermore, I acknowledge EMS World Expo’s right to crop, splice, treat and edit any Media containing my Likeness and waive my right to be notified, inspect, improve or approve the finished product, now and in the future, whether that use is known or unknown to me.

      I hereby grant an irrevocable, world-wide, royalty-free right to HMP Global, EMS World Expo, and their industry partners, sponsors and supporters to utilize, adapt, modify, reproduce, distribute, publicly perform and/or display any Media containing me or my Likeness in any Material. Subsequently, I hereby waive any right to royalties or other compensation arising from or related to the use of said Media.

      I hereby agree to release, defend, and hold harmless HMP Global, EMS World Expo, and their agents, employees, affiliates and contractors, including, but not limited to, any firm publishing and/or distributing the Media and/or Materials containing my Likeness in whole or in part, form and against any claims, damages or liability arising from or related to the use of said Media and/or Materials. This includes, but is not limited to, any misuse, distortion, blurring, alteration, optical illusion, or the taking, processing, production, publication, distribution or use of said Media and/or Materials.

      Furthermore, I hereby release and agree to indemnify and hold harmless HMP Global, EMS World Expo and their industry partners, sponsors and supporters from any and all claims that I or any third party may have now or in the future for invasion of privacy, right of publicity, copyright infringement, defamation, or any other cause of action arising out of the use, utilization, adaptation, modification, reproduction, distribution, public performance or display of my Likeness used in the Media and/or Materials.

    • Health & Safety

      The health and safety of all visitors to our conferences remains our top priority. We remain current with local and venue health and safety guidelines and will adjust our approach as needed to ensure a safe environment for all conference participants.

Tools-to-Attend

    • Education Scholarships

      Many EMS professionals are challenged by limited resources in the pursuit of advancing their careers for the betterment of the communities they serve.

      To help attendees experience the progressive CEU-certified educational sessions, as well as the many learning opportunities available at EMS World Expo, we are pleased to offer education scholarships for the 3-day conference program (travel is not included as part of the scholarship).

      The scholarship is open to all EMS professionals who are truly dedicated to improving their skills, knowledge base, and patient outcomes but face financial difficulties regarding attending a national conference. Your application will be reviewed after the scholarship deadline listed below, and you will receive an email informing you if you have been accepted for a scholarship. 

      To be eligible for a scholarship, applicants must meet the following criteria:

      • Be a first-time attendee to EMS World Expo
      • Be a full- or part-time (paid or volunteer) practicing EMS provider

       

      Please note, the 2024 scholarship application period will open on Monday, June 17. 

    • Justification Letter

      Thank you for your interest in attending EMS World Expo. We understand that with limited travel and training budgets, receiving approval to attend EMS World Expo may be challenging. Below is a sample justification letter to help you with your request. Consider making your case by adding specific context and explaining the benefits and ROI—for both you and your agency—that you will receive by attending.

    • Letter of Invitation

      EMS World Expo is proud to welcome international participants for this educational activity. Recognizing that travel visas may be necessary and the application process is time-consuming, please be sure to allow enough time for the process. Click here for detailed information.

      A letter of invitation for participation may be provided, upon request, as part of the visa process. This invitation represents no intent by EMS World Expo to provide financial support, nor does it serve as a guarantee in any respect to the visa application process. Letters of invitation will be sent only to confirmed registrants of EMS World Expo. To request an invitation letter, please contact us here.
